Skype for Business will be sunsetting on July 31, 2021. Have no fear though, as Microsoft Teams will replace it for all your communication needs and empower you to do even more.

What's Teams? Microsoft Teams is a unified communication and collaboration platform that combines instant messaging, calling, meetings, file sharing, app integration and everything you essentially need to collaborate with your team, no matter where you all are.

If you are a current Skype user, the below still applies and will until it's expired. However, new users that wish to sign up for Skype for Business will be redirected to Teams.

Whether you're new to Microsoft or have been a long time user of Skype, you should be very excited about the transition to Microsoft Teams. Skype is very limited in its capabilities - sure you can chat, make calls and have meetings, but the functionality ends there. Microsoft Teams does all of that and more. Here are some awesome features of Microsoft Teams:

  • Chat: Instant message one to one or a group chat. Make it fun by sending gifs, emojis or stickers
  • Meet: Easily go from a group chat to a video or audio conference in one click.  Record meetings, blur your background and share meeting notes. Just like Skype, Teams integrates with your calendar
  • Call: Gone are the days of "who joined?" - you can view everyone who's on the call or make calls directly one to one
  • Collaborate: Not sure where to find a file or what the latest version is? In Teams, you can access, share, and edit documents in real-time (and at the same time as another colleague)

On top of all these great features, you can organize and sort them by different "teams" - clever, right? For example, you can have a "Marketing" Team within Teams that the marketing and sales team to access collateral. You can also have an "All Staff" Team in which everyone in the company has access to. Additionally, you could have an "Executive" team where only the leadership team has access. With these different permissions, you can restrict and control which employees have access to what and keep communication and collaboration organized.

If you don’t have the desktop version of Skype for Business, or don’t have a Skype for Business account, you can use Skype for Business Web App to join a Skype Meeting from your browser.
IMPORTANT: You don't need to download or install any apps to join a Skype Meeting with Skype for Business Web App. Just select the link in the meeting request email and follow the instructions in the browser window to join.

Join the meeting

Here are the basic steps to join a Skype Meeting from Skype for Business Web App:
    1. Open the meeting request in your email or calendar and select Join Skype Meeting.
    2. Enter your name on the sign-in screen and select Join the meeting.

    3. Follow your browser's instructions for installing the Skype for Business Web App Plug-in, which is required for audio, video, and screen sharing.
    4. Depending on the meeting options set by the organizer, you'll either join the meeting immediately, or be directed to the virtual lobby.Skype for Business Web App virtual lobby
    5. If you're in the lobby, the meeting organizer and other presenters are immediately notified that you're waiting.

If you run in to trouble, or just want more detail, read on:
  1. To begin, do one of the following:
    • If you have Outlook or Outlook Web App, go to your Calendar, open the meeting request, and select Join Skype Meeting.
      OR
    • Open the email with the meeting request and select Join Skype Meeting.
      TIP:  If you’re having trouble joining the meeting, open an InPrivate Browsing session in Internet Explorer and try joining the meeting again.
  2. When Skype for Business Web App opens, do one of the following to join the meeting:
    • To join as a guest, enter your name and select Join the meeting.
      OR
    • To join a meeting set up by someone in your organization, select Sign in if you are from the organizer’s company orSign in if you are an Office 365 user, and then enter the same user name and password you use to sign in to your organization's network.
    TIP: Select Remember me on this computer to help speed up the join process the next time you use Skype for Business Web App. This option also gives you more choices for connecting to meeting audio the next time you join.
  3. Follow your browser’s instructions for downloading and installing the plug in. For example, in Internet Explorer, select Run when you see the alert at the bottom of the browser window.
    IMPORTANT: The Skype for Business Web App plug-in is required for audio, video, and screen sharing, so you should install it even if you plan to call in to the meeting by phone. You only need to install it once.
  4. In the Skype for Business Web App plug-in security alert, select Allow.
  5. If a Windows Firewall security alert appears, it’s OK to select Cancel if you don’t have administrator privileges on your computer. This won't affect your meeting.
  6. If you’ve already joined the meeting and the plug-in didn’t install, point to the phone icon and select Call to start the installation process.

Join the meeting with the desktop version of Skype for Business if the meeting request is from someone in your organization

If the meeting request is from a colleague or co-worker, you may be able install and use the desktop version of Skype for Business for more features and flexibility during the meeting. If your organization uses Office 365, you can install Skype for Business and other desktop apps from the Office 365 portal. Otherwise, contact your workplace technical support—typically the person who set up your Skype for Business account —for the location of the download.

Join with Skype for Business Web App if Skype for Business desktop is installed

In some cases you may want to join a meeting with Skype for Business Web App even if the desktop version of Skype for Business is installed.
  1. In the meeting request, right-click or tap and hold the  Join Skype Meeting link, and select Copy Hyperlink.
  2. Paste the meeting link into a browser address box, and add ?sl=1 at the end. For example: https://join.contoso.com/meet/patrick/ABCDEFGH?sl=1
  3. Press Enter to join the meeting with Skype for Business Web App.

University fosters flexible learning, smoother operations with communications upgrade

Globe University is constantly looking for ways to improve student learning experiences and extend the reach of its instructors. Globe adopted Skype for Business Server 2015 for lecture delivery, staff communications, and voice capabilities across its 19 locations. Faculty and staff appreciate the product’s better cross-platform support, more intuitive interface, and integration with Microsoft Office 365, which will be used by the university’s students.

Business Needs

Teaching without borders

Globe University is as expansive as its name. People seeking careers in everything from business administration to veterinary technology turn to this family-owned system of five career colleges, universities, and training centers. With campus locations spread across five states, Globe looks for ways to share knowledge among its faculty and staff and to make it easier for students to take the classes they want without having to travel.
That’s why the university participated recently in the early adopter program for Skype for Business Server 2015, the successor to Microsoft Lync Server 2013. By upgrading its communications solution, Globe can make its instructors more available, streamline internal operations, and enable colleagues to work together more easily, whether they need to track down the right resource to answer a prospective student’s questions or solve an IT issue for a remote faculty member.
There’s plenty of communications and collaboration among the university’s colleges. “We have a common curriculum and a shared faculty, so we offer some of the same courses at multiple schools,” says Dave Hagel, Director of Technology Services at Globe University. “Instead of having to shuttle among multiple campuses to reach their many interested students, our instructors use Skype for Business as a powerful, convenient technology to teach and transfer knowledge. A seasoned instructor who is an expert in her field can teach a course from one of our campus classrooms, and students from all over our college system can watch her lectures. By using Skype for Business, we can make the best instructors available to the greatest number of students without inconveniencing either instructors or students. This gives the college the flexibility to teach more efficiently, reach students in remote locations, and increase the quality of educational opportunities.”

Solution

A tradition of advanced communications

Globe University has long been an early adopter of unified communications technologies, going back to its implementation of Microsoft Office Communications Server 2007. The university’s first step was to upgrade 10 Globe datacenter servers to Skype for Business, which is now used by 1,500 faculty and staff. “With the in-place upgrade path, we had an easy move to Skype for Business,” says Adam Hite, Director of IT at Globe University. Globe plans to set up a hybrid environment in which staff and faculty can use either Skype for Business on-premises if they need enterprise voice capabilities or the online version available with Microsoft Office 365.
The university plans to roll out Office 365 to approximately 15,000 students. The goal is for students using Office 365 to be able to use Skype for Business to collaborate on class projects, get help from classmates, and work more closely as a team, even if they don’t sit in the same classroom on a daily basis.
The university’s Skype for Business environment works with Microsoft Exchange Server 2013 and Microsoft SharePoint Server 2013, which means that employees can view each other’s presence information from within their messaging and collaboration systems. Globe also plans to have Skype for Business interoperate with its customer relationship management (CRM) solution, public-facing website, and learning management system.

Benefits

Flexibility and collaboration

Many of the university’s faculty and staff have already embraced Skype for Business instant messaging, presence, and conferencing functionality, and some employees also opt for its voice capabilities instead of using the university’s PBX telephony system. Elaine Settergren, Online Librarian at Globe University, relies on Skype for Business to curate electronic resources, support instructors and other colleagues, and help students with research. “I use Skype for Business all day, every day, to help faculty figure out the best ways to incorporate digital library content into their courses, coordinate the efforts of our dispersed library staff, and respond to calls from students,” says Settergren. “If another librarian or faculty member needs help finding information for a student, she checks to see if I’m available; then we both can put on headsets for an audio call, share our screens, or quickly exchange instant messages.”
Globe also uses Skype for Business to conduct virtual faculty and staff meetings to minimize travel. Settergren, who works at home—more than an hour away from many of her campus-based colleagues—uses Skype for Business to participate in nearly all her meetings, from weekly team check-ins to faculty conferences with more than 100 attendees. “We share presentations right from Microsoft PowerPoint as well as share desktops, which helps us work more consistently as a team, advise on best practices, and resolve issues quickly,” says Settergren. “Without Skype for Business, I wouldn’t be as responsive to my colleagues, and our team couldn’t provide the same level of student and faculty support.”

Enhanced community interactions

Globe University has noted significant improvements in Skype for Business, particularly on Apple iOS devices—important because every student and faculty member at the university is given an iPad. “We considered the cross-platform capabilities good in Lync Server 2013, but they’re even better in Skype for Business,” says Hite. “It’s more reliable, the web interface is cleaner and more intuitive, and we get a richer experience for presentations. Because Skype for Business is so much more compatible with our devices, I expect its adoption to rise quickly among faculty.”
University employees also appreciate the flexibility to choose the right communication mechanism for each interaction. “For example, a member of our IT help desk may start by instant messaging with an instructor who’s having trouble, then decide to share desktops to get a better sense of the problem,” says Hagel. “The freedom to shift among modes of communication also helps faculty members assist students effectively during online office hours.”

Faster service and responsiveness

Globe uses Skype for Business to care for prospective students, as well as current ones. At the university’s call center, an agent receives a call, learns the caller’s areas of interest, and uses presence to identify a colleague with relevant expertise who’s available to speak to the caller. “We consider presence through Skype for Business an integral part of our business,” says Hagel. “Calls can be transferred to the right person right away, so prospective students get information immediately. If they had to leave a message and wait for a call back, they might lose interest. We want to capture their attention and keep it by being responsive to all their needs, and Skype for Business helps us do that.” In fact, the university’s international recruiting team plans to take advantage of Skype for Business to interview prospective students from other countries, who can easily participate using the Skype consumer product.
With its upgraded platform in place, Globe is poised to run even more cohesively across its 30 locations, increasing the quality and convenience of its educational experience. “From online and remote learning to connected faculty members to recruiting, we’ve made Skype for Business absolutely critical to our business,” says Hite. “Not only does everyone use it, but they’re using it in new, creative ways to serve our students.”

A complete, enterprise-grade communications solution

This week, we’re releasing Auto Attendant and Call Queues, two new advanced calling features in Skype for Business Cloud PBX. Auto Attendant provides an automated system to answer and route inbound calls using dial pad inputs and speech recognition. Call Queues enable incoming calls to be routed to the next available live attendant in the order they are received.
This continues the rapid innovation over the past six months we have released into the service including:
  • iOS CallKit integration.
  • Skype for Business client for Mac.
  • Expanding PSTN Conferencing to more than 90 countries with dial-out to 180 countries.
  • Extending PSTN Calling to France, Spain and the UK, with preview currently available in Netherlands.
  • Enabling thousands of customers with hybrid deployments.
  • Skype for Business Server Cloud Connector edition to connect their on-premises telephony assets to our cloud voice solution.
With Skype for Business, companies can replace their legacy meeting and phone systems, and enable their employees to join meetings, as well as to make, receive and manage calls right within Office 365—all on any device. Skype for Business Cloud PBX also provides central management within the Office 365 admin console, making it seamless for IT admins to manage communications alongside email, content and collaboration.

Simplified manageability and control for IT

Today, we are also announcing a preview of Skype for Business Online Call Analytics—a new dashboard in the Office 365 admin console that gives IT admins greater visibility to identify and address user call issues, such as network issues or headset problems. Customers tell us some of the greatest benefits of moving their communications to the cloud are the ability to consolidate all their meeting and calling systems into a single solution and streamline provisioning and administration. Customers have also asked for more visibility into calling data to help address user support inquiries. Call Analytics provides rich telemetry data in real-time to help IT admins troubleshoot issues and improve the user experience.
In addition to investing in IT management capabilities like the Call Analytics dashboard, we also released new authentication capabilities to enhance security in Skype for Business Online, including multi-factor authentication for PowerShell, certificate-based authentication, and custom policies for client conferencing and mobility.

Making meeting rooms more effective

For meetings to be as effective and engaging as possible for all participants—no matter their location—groups need web and video conferencing with features like screen sharing, IM and whiteboarding. At the same time, organizations want to take advantage of the full Skype for Business experience while leveraging their existing conferencing assets. Today, Polycom announced their RealConnect for Office 365 video interoperability cloud service will be generally available in North America in April. The RealConnect service enables customers to connect existing videoconferencing (VTC) devices to Skype for Business Online, at a low cost of ownership, and with ease of provisioning for IT and simplicity for users.
“Polycom RealConnect for Office 365 simplifies the video world by connecting Skype for Business online users with those using other video systems,” said Mary McDowell, Polycom CEO. “This cloud service protects customers’ investments in existing video systems as it allows these users to join a Skype for Business meeting with a single click.”
In addition, this week Crestron is introducing its SR for Skype Rooms Systems solution. As a next-generation Skype Room System, the Crestron SR will deliver a full native Skype for Business experience and has been designed from the ground up to seamlessly integrate with the Crestron control and AV systems. These Skype Rooms System solutions transform conference rooms of all sizes by providing rich audio and HD video and content sharing in the room. Remote participants have quick and easy join-meeting functionality and the ability to make phone calls. Customers are already seeing benefits from the Logitech SmartDock that was shipped in October of 2016.

4 things about hosting virtual meetings you can learn from TED Talks

With more than a billion views, TED Talks are clearly doing something right. So, what is it that makes them such a success? Here are four tried and true techniques that some of the most viewed TED Talks have in common.
  1. They’re the right length—While there are talks up to 60 minutes, the average and most well-known length is 18 minutes or fewer, as reported by Forbes. When facing pushback on this length, TED Talks founder Chris Anderson often guides speakers to fit within the time limit by quoting President Woodrow Wilson (according to Forbes): “If it’s a 10-minute speech, it takes me all of two weeks to prepare it; if it’s a half-hour speech, it takes me a week; if I can talk as long as I want to, it requires no preparation at all. I am ready now.” Concise and strategically planned presentations are key.
  1. They focus on the right topic—Choose a topic that’s meaningful to you, that you’re knowledgeable about, and you’re comfortable talking about in depth. If you don’t believe in what you’re saying, your audience won’t either. Having something worth saying is more important than stage presence and confidence in public speaking, Anderson explains to Forbes.
  2. They use top-notch presentation skills—While having something worth saying is key, you still need presentation skills to back it up or your presentation may fall flat. Even though you might not be presenting in person, being personable and accessible is essential. According to research by the Science of People regarding the most viewed TED Talks, audiences liked the speakers just as much with the audio on as they did when the volume was muted.
    They also discovered the more hand gestures, the more successful the talk. They reported that the bottom TED Talks had an average of 124,000 views and the speakers used an average of 272 hand gestures during the 18-minute talk. The most-viewed had an average of 7,360,000 views and used an average of 465 hand gestures.
  3. .They’re conversational—Scripts are comforting because they help you feel like you know exactly what to say, but planning word-for-word comes off as impersonal. Instead, create an outline with talking points to allow for natural vocal variety. The Science of People discovered a direct correlation between vocal variety and Ted Talk views.

A deeper look at Skype for Business integration with iOS CallKit

We recently announced deeper integration of Skype for Business with iOS devices using Apple’s CallKit framework, which enables a better experience for Skype for Business calls on the iPhone. The CallKit API with iOS 10 enables Skype for Business calls to work the same way as the native calling experience on iOS, allowing you to seamlessly extend your personal device as a business phone.

Answer Skype for Business calls from lock screen

Now, iPhone users can accept an incoming Skype for Business call right from the lock screen. There is no need to unlock the phone or launch the Skype for Business app to receive the call. Skype for Business calls will appear and behave just as regular cellular calls do—including being able to see the caller’s name on the lock screen. When you need to, you can also get to the app from the calling interface with just one touch.

Handle Skype for Business calls like any other call

This integration also allows you to switch between calls across Skype for Business, your personal cellular line and other VoIP applications supporting CallKit. If you are in an important Skype for Business conversation and receive an incoming cellular call, you can send the second call to voicemail or put the Skype for Business call on hold to accept the incoming cellular call. You’ll also see Skype for Business calls in your phone’s call history.

Built-in IT and user controls

These new features are enabled by default for all iOS app users. In scenarios where you may not want the Skype for Business calls to appear in the native iOS call log, the built-in IT and end-user controls allow you to disable the CallKit integration altogether. IT admins can disable this integration for their users through a policy, and app users can also control it in the settings.

Skype for Business provides more opportunity for partner success
Today, we introduced a new set of resources to help partners unlock the opportunity around Office 365, the Skype Operations Framework (SOF)—an end-to-end planning, deployment and operations methodology for Skype for Business. SOF provides partners a comprehensive guide and toolset for implementing and managing a reliable, cost-effective communications service with Skype in the cloud. It can help partners drive operational excellence and high quality deployments. Partners like Modality are already using this framework to expand their Skype for Business offerings beyond on-premises deployments to managed services.
We also are continuing to expand the global footprint of Skype for Business PSTN services. PSTN Conferencing is now available to customers in 92 countries including Venezuela, Uruguay, Vietnam and Kenya added this month. In addition, PSTN Calling is now available in both the UK and U.S., providing inbound and outbound calling, voicemail, phone numbers and calling plans.
Lastly, we’re excited to announce that Office 365 customers will be getting a preview of automatic transcription and translation in Skype Meeting Broadcast by the end of 2016. Skype Meeting Broadcast lets you produce, host and broadcast meetings to large online audiences. These new services will provide live closed captioning of presentations and allow viewers to choose translation into their preferred language from a list of supported languages.

Office recognized by AIG for security and compliance strength
One of the reasons so many customers have chosen Office 365 is that we’re built on a platform of trust. In light of our industry-leading security and compliance capabilities, Office 365 and the Microsoft Cloud are being recognized by AIG, which will now include a Microsoft Cloud endorsement with its CyberEdge insurance policy. Microsoft is the first cloud vendor to achieve this status with AIG. This endorsement allows new or renewing AIG CyberEdge customers using Microsoft Azure, Office 365 or Dynamics 365 to have access to expanded business interruption coverage as part of their policy terms.

We’re pleased to introduce free Skype Meetings—a new online meetings tool that provides small businesses with real-time audio and HD video conferencing. Skype Meetings includes collaboration features like the ability to share screens and content during meetings.

With Skype Meetings, you can quickly set up meetings and share a personalized URL that participants click to join the meeting. During the meeting, participants can IM, share their screen or PowerPoint presentation or use the laser pointer and whiteboard features to make it more engaging and productive. The meeting organizer also gets professional meeting controls such as the ability to mute the audience in order to be heard.

Anyone in the U.S. with a business email address and whose organization doesn’t already have Office 365 can sign up for free Skype Meetings at www.skype.com/meetings. Once you sign up, you can set up meetings for up to 10 people for the first 60 days and up to 3 people thereafter. All you need is a device with an Internet browser, a microphone, speaker and camera, which are included on many devices.
If you have an Office 365 business subscription that includes Skype for Business, then you already have richer online meetings capabilities, such as the ability to conduct large group meetings for up to 250 people and the ability to IM anyone in your organization at any time—not just during meetings. In addition, Skype for Business is integrated with other Office 365 apps to enable you to do things like schedule a Skype meeting from your Outlook calendar, see your colleagues’ presence, and initiate an IM or start an audio or video conversation within apps like Outlook, Word and PowerPoint.

Skype now integrated with OneDrive

The Skype team has been hard at work recently delivering new features to make sharing and collaborating across apps easier than ever. We’ve been working with them to bring Skype to OneDrive, and you can now log in to Skype directly at OneDrive.com. This will make it easier for you to stay connected by sending an instant message or having a video call while sharing a new photo album that you just created or while working together on a document. Your chat history will even stay connected to your document, so you always have what you need to stay productive.
