Here are just a few of the benefits of migrating your business to Office 365:

  • Streamlined communications. Consolidate email and scheduling into a single, secure solution.
  • Centralized access. As remote work increases, Office 365 provides reliable access to email, shared calendars, collaboration tools and other vital information to all your employees — anywhere in the world.
  • Advanced data security. In today’s digital world, information security has become an ever-increasing priority. Microsoft strengthens your security posture and enables you to meet the various compliance requirements of your industry. Rest assured, your data, users, devices and environment will be secure.
  • Automatic updates. Many license subscriptions come with a routinely updated suite of office services, requiring less management and heavy lifting when it comes to software “spring cleaning.” This also ensures you will always be protected.
  • Improved bottom line. With the flexibility of the cloud, you can easily scale up and down, paying for only what you need and use.
  • Enhanced user experience & increased productivity. Improved access, usability and tight integration across the suite of services make for happier workers, often leading to increased productivity and efficiency.

How We Support Your Migration

Our process is designed to seamlessly transfer your data and users so they can easily start leveraging the power of Microsoft, and your business can continue to grow and innovate.

Our role is to provide the overall project delivery and design, which is aligned with your needs, timeline, and budget.

Phase 1 | Design

In the Design phase, we work with you to get a clear picture around project requirements and the specific details of what they’d like to accomplish to build an initial “roadmap.” Based on your input, we begin to tailor potential solutions using the suite of Office 365 service options. During Design, we also assess your existing infrastructure to improve the architecture. Prior to any changes in configuration, a review of the design is conducted with and approved by you.

Phase 2 | Build

During the Build phase, we use our roadmap to begin to execute on the tailored Office 365 solution. Within the new infrastructure we begin shaping our set-up, which often includes initial implementation of user permissions, user identities, passwords, and licensing so we are able to stage a working prototype of the new solution.

Phase 3 | Test

In the Test phase, our team runs tests against specific functionality requests within the Office 365 environment. This helps verify that the build performs as expected under various conditions. Testing often takes place in piloting groups, allowing your teams a smoother introduction to the feature set provided by the Office 365 solution. We are then able to get feedback and collect the results of the pilot users to make further adjustments. Results of the tests are also captured for review.

Phase 4 | Deploy

The Deploy Phase is what we’d like to consider “moving day,” and is often referred to as a “cutover.” While some initial “packing” may already be completed during the previous phases, deployment is the official window of time when the bulk of the company data (e.g. email, documents, identities) is transferred and the final settings of the solution are reconfigured, including devices. As you can imagine, there are a lot of moving parts during this phase, so we work together, with your assistance, to carefully plan the timing. We also handle the planning and logistics to ensure deployment happens as quickly and as pain-free as possible. The fully-built environment is then turned over to your company with a specified amount of knowledge transfers. Finally, during this phase, the results of the testing are also reviewed and recorded for tracking purposes.

Phase 5 | Optimize

Once you’ve been migrated, we can continue to support your Office 365 needs. We help better manage cost by assessing your Office 365 license utilization to ensure you optimize your spend and reduce lost dollars on inactive accounts. Post-migration, we can also help boost performance by guiding you through the many automation services in Office 365.

Pro Tips for Preparing for an Office 365 Migration

A successful migration is truly a team effort. Preparing your organization for your Office 365 deployment will greatly benefit the experience as a whole.

Here’s a few helpful tips to get started:

A migration plan is key.

The migration process and the response to the process will vary by company as well as by department (and even from employee to employee). Choosing the right plan for your business eases the transition on various fronts. We can help in the planning phases to pinpoint the right migration plan for your organization.

Thoroughly evaluate migration volume.

No one knows your business better than you do. Really taking the time to fairly estimate the scope of the data in need of migration can go a long way when it comes to moving day…and could even be more cost-effective than initially expected.

Lean on the experts.

When it comes to handling valuable data, it’s best to leave it to the professionals who are experienced with managing various amounts of data and efficiently resolving unexpected technical issues.
